What type of information we have

We currently collect and process the following information:

  • Personal identifiers and contact information (for example, name, surname, address  and other contact details);

  • Employee data as consented by applicable law;

  • Age and date of birth;

  • Bank account details and billing information;

  • Mobile and phone numbers;

  • Client and vendors details;

  • Billing information (including VAT and tax ID).


How we get the information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • Directly from you when you provide personal information to us;

  • When you request our organisation to provide services for you;

  • If you are a former employee or a current employee;

  • In some circumstances, we collect personal data about you from a third-party source. For example, we may collect personal data from your organisation, other organisations with whom you have dealings, government agencies, a credit reporting agency, an information or service provider or from a publicly available record. 

  • Through third-party vendors in the course of doing business; and, more generally

  • In the course of doing business.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(d) We have a vital interest.

(e) We need it to perform a public task.

(f) We have a legitimate interest.

What we do with the information we have

We use the information that you have given us for:

  1. conducting our business and providing our services;

  2. contacting you;

  3. marketing purposes (including newsletter mailings);

  4. hiring purposes; and

  5. as otherwise authorized or required by law.

We may share this information with:

  1. Moving Image and Content Inc. (DBA Qulture), a company incorporated under the laws of the United States;

  2. third-party accounting and bookkeeping firms;

  3. our bank(s) and payment services;

  4. parties involved to enforce our legal rights or to defend against legal claims and/or to comply with court orders or requests.

When we transfer personal data from the European Union to other countries, we use a variety of legal mechanisms to help ensure all applicable laws, rights and regulations continue to protect your data.

How we store your information 

Your information is securely stored online through Microsoft Office, an encrypted cloud-based platform.

We keep your personal information as long as we need it for business, tax or legal purposes, generally for a period of 10 years as required by applicable law. We will then dispose of your information by permanently deleting or destroying all your information from our online systems.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information. 

Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing - You have the right to ask us to restrict the processing of your information in certain circumstances. 

Your right to object to processing - You have the right to object to the processing of your personal data in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

How to complain
